Version 1.0
All in One Staffing Agency ("we", "us", "our") is committed to
protecting personal information in line with the
Privacy Act 1988 (Cth), the Australian Privacy Principles
(APPs), and the requirements that apply to providers and workers in
the aged care and NDIS sectors.
01Who this policy applies to
This policy applies to anyone whose personal information we hold,
including:
- Workers who apply to join, or are listed on, our roster — including support workers, nurses, and allied health staff.
- Providers and employers who request staff from us — including aged care facilities, NDIS providers, retirement villages, and home-care operators.
- Family members or NDIS participants who contact us about a care placement.
- Visitors to allinonestaffing.com.au.
02What we collect
For care workers and applicants
- Identity and contact details — name, date of birth, residency status, address, phone, email.
- Qualifications and work history — Cert III/IV, AHPRA registration, prior employers, references.
- Compliance records — NDIS Worker Screening, NDIS Worker Orientation ("Quality, Safety and You"), National Police Check, Working With Children Check, First Aid and CPR, manual handling and medication competencies.
- Availability, location preferences, and shift preferences.
- Bank details and tax file number — only where engagement and payment are processed through us.
- CV or résumé content you choose to send us.
For providers and employers
- Organisation name, contact person, role, business address, ABN.
- Staffing requirements — role type, shift times, location, special requirements.
- Billing details where invoicing applies.
For website visitors
- Information you submit through our enquiry, employer, or jobseeker forms.
- Basic technical information your browser sends with each request (e.g. IP address, browser type, pages viewed) — collected through standard web server logs.
Sensitive information. Some of the information we
collect from workers — for example, criminal-history check results
or health-related fitness-for-work disclosures — is "sensitive
information" under the Privacy Act. We only collect this where it
is reasonably necessary for the work, and only with your consent.
03How we collect it
We collect personal information directly from you wherever
possible, including when you:
- Submit a form on this website.
- Email, phone, or message us.
- Attend an interview or compliance check with us.
- Provide documents such as your CV, certifications, or screening clearances.
Occasionally we may collect information from third parties — for
example, AHPRA, the NDIS Worker Screening Unit, a referee you have
nominated, or a previous employer — but only where that collection is
necessary for your engagement and lawful under the APPs.
04How we use it
We use personal information to:
- Match qualified workers to provider requests.
- Verify worker qualifications, screening, and compliance status before placement.
- Brief workers and providers about each shift and any specific care requirements.
- Pay workers, invoice providers, and meet our tax, superannuation, and workers'-compensation obligations.
- Respond to enquiries, complaints, and feedback.
- Meet record-keeping obligations under the Aged Care Quality Standards, NDIS Practice Standards, and other applicable laws.
- Improve our service and the operation of this website.
05Who we share information with
We disclose personal information only as needed to deliver the
service, meet our compliance obligations, or where the law requires
us to. Recipients may include:
- The provider you are placed with (for workers) — including your name, qualifications, and the compliance records they need to satisfy their own regulator.
- Regulators and screening bodies — such as the NDIS Quality and Safeguards Commission, the Aged Care Quality and Safety Commission, AHPRA, and the NDIS Worker Screening Unit.
- IT and back-office service providers — including our website host, email service, and document-storage providers, who are bound to keep your information confidential.
- Insurers, accountants, and legal advisers — where reasonably necessary.
- Law enforcement or a court — where required or authorised by law.
We do not sell personal information. We do not disclose
information outside Australia except where a contracted service
provider stores data on overseas servers, in which case we take
reasonable steps to ensure the provider handles the data in line
with the APPs.
06Storage and security
We store personal information in secured digital systems and, in
some cases, in paper files held at our office. We take reasonable
steps to protect that information from misuse, loss, unauthorised
access, modification, and disclosure — including access controls,
encryption in transit, and staff training.
We retain personal information only for as long as we need it for
the purposes set out in this policy, or as required by law (for
example, taxation, employment, or aged care record-keeping
requirements). When we no longer need it we destroy or de-identify
it.
07Your rights — access, correction, consent
You can:
- Request a copy of the personal information we hold about you.
- Ask us to correct any information that is inaccurate, out of date, or incomplete.
- Withdraw consent for non-essential uses (note that this may affect our ability to continue offering you work or service).
- Opt out of marketing communications at any time.
To do any of these, email
info@allinonestaffing.com.au
or use our contact form. We respond to access and correction requests within 30 days, and there is no charge for reasonable requests.
08Cookies and the website
This website uses only essential cookies and basic browser
storage required for the site to function. We do not run third-party
advertising trackers. Anonymous server logs may be kept for security
and diagnostic purposes.
09Complaints
If you believe we have mishandled your personal information, or
if you have any other complaint about our service, we want to hear
about it. Please contact us first so we can attempt to resolve it
directly:
We aim to acknowledge complaints within five business days and
to resolve them within 30 days. If you are not satisfied with our
response, you can escalate a privacy complaint to the Office of the
Australian Information Commissioner at
oaic.gov.au.
NDIS-related concerns can also be raised with the
NDIS Quality and Safeguards Commission,
and aged-care concerns with the
Aged Care Quality and Safety Commission.
10Changes to this policy
We may update this policy from time to time. The "last updated"
date at the top of the page reflects the most recent change. If a
change materially affects how we handle your information, we will
take reasonable steps to draw it to your attention.
